Microsoft Outlook
Rule Copies Message Instead of Moving It
Outlook rule is supposed to move
messages to another folder but actually copies message to new
folder while leaving original behind.
The Problem
Just one more of the computing world's minor annoyances.
The same rule worked in Vista's Windows Mail; it even worked in
previous versions of Microsoft Office Outlook. Seriously,
what could be simpler than:
Apply this rule after the
message arrives
through the
specified
account
and on this machine only
move it to the
specified
folder |
But, in Outlook 2003, it just doesn't work. For example,
the following rule:

message arrives
through the
support@infosystemspro.net
account
and on this machine only
move it to the
Inbox - Support
folder |
is set to run automatically as messages arrive during a
Send/Receive operation. The result however is that one
copy of the message is placed in the "Inbox - Support" folder
while another remains in the default Inbox.
If you tinker with the rule and then force it to run again, it
*seems* to work in that existing messages are indeed "moved" to
the desired folder. Unfortunately, you now have two copies
of applicable messages in the move-to folder and - to make
matters worse - you quickly realize that the rule still does not
function properly during a normal Send / Receive operation.
The Solution
The solution is found in the "Select actions" portion of rule
setup. After placing a checkmark near the "move it to the
specified folder" option, scroll on down near the bottom of the
actions list and also place a checkmark alongside "stop
processing more rules" so that your rule now looks like this:
Apply this rule after the
message arrives
through the
support@infosystemspro.net
account
and on this machine only
move it to the
Inbox - Support
folder
and stop processing more rules |
And that should do it.
